Small law firm located in the heart of the Wharf District in Morgantown seeks to hire a full-time dedicated Administrative Assistant, which includes primary reception duties, to assist in our fast-paced practice.
Successful candidate should have excellent computer skills; strong communication and organizational skills; and must be able to handle a large workload for a very busy practice. Responsibilities include, but are not limited to, answering phone calls, filing, calendaring, scanning documents, and file management/maintenance. Prior experience working in an office/administrative setting is a must (legal, human resources, administrative, office management, accounting, etc.). College degree is not required; however will be considered.
This is an administrative and secretarial position. No advanced or specialized degrees are required, but general education and degrees attained will be considered.
Ideal candidate will have a minimum of 1-2 years of administrative, secretarial, and/or reception experience. Must possess excellent organizational and communication skills.

Job Duties and Responsibilities – Secretary/Administrative Assistant
As a Secretary and Administrative Assistant – you will be expected to be involved in all aspects of our day-to-day office administrative details. You will be responsible for answering and returning all phone calls and contacts from firm clients, courts and all other callers.
You should possess the following Skills:
- Proven working experience as legal assistant or legal secretary
- Familiarity with law, legal procedures and protocols, and court system
- Satisfactory knowledge of day-to-day operations of a legal office
- Computer literacy
- Excellent secretarial and organizational skills
- Ability to juggle multiple activities
- Ability to handle documents and calendaring in a timely manner
Administrative Assistant/Secretary – Specific Job Duties & Responsibilities
- Answer and direct phone calls
- Return all missed calls, including calls during off hours handled by answering service
- Handle potential client initial intake calls – gather information about their needs
- Calendar hearings, deadlines, and other important dates
- Scanning all documents (mail & client documents)
- Communicate with clients as necessary
- Document management and file organization
- Filing documents at clerk’s office on occasion
- Drafting basic correspondence and simple forms
- Handle all mailing & postage
- Light office Maintenance
- Miscellaneous clerical/administrative tasks as needed
Communication
Communication is an essential and key element of this job. You will be responsible for maintaining effective communication with clients and regularly communicating with the responsible attorney to ensure continuity and efficiency in case handling.
You will be the initial filter for all incoming phone calls and as such will be required to efficiently obtain information from callers and effectively communicate that information. You will also be the primary interface with the Courts and counsel in matters related to scheduling and calendaring. Thus, you must have excellent interpersonal communication skills and must be capable of handling calls from clients who may be anxious, stressed and/or upset.
Preparation Of Standardized/Form Documents
You will be required to draft basic correspondence, including cover letters for various types of documents and pleadings, and letters forwarding documents to clients. You will also be required to learn some basic forms that are routinely used in our legal practice, including simple one-page forms, such as notices, certificates of service, verification forms and clerk letters. You should be a quick learner and attentive to details, as these forms are not complex, but require accurate and correct details.
Initial Client Screening & Client intake
You may be requested to conduct initial calls with clients to initially screen them for the basic details of their case. The expected details that you will need to obtain will be outlined for you. You will be expected to quickly ascertain clients whom we are unable to assist – because of the type of case, location, or other basic screening criteria – and provide them with a referral.
